Problem
University HR staff frequently encountered confusion when submitting OPS (Other Personnel Services) faculty job offers due to complex pay rate calculations and procedural inconsistencies. Existing documentation was scattered, overly technical, and often misinterpreted, leading to delayed onboarding, incorrect data entry, and extra support requests to the HR department.
Solution
To address these challenges, I designed two targeted job aids: one to simplify the calculation of hourly and annualized pay rates, and another outlining key “do’s and don’ts” for the OPS hiring process. These resources aimed to reduce errors, standardize workflows, and serve as clear, printable reference tools for HR professionals entering offers in the system.
Design and Development
I collaborated with the HR team to extract the most relevant and frequently misunderstood parts of their internal procedures. I then developed two visually engaging, digestible job aids using FSU branding and accessibility principles.
The Pay Rate Calculation job aid breaks down both hourly and annualized rate formulas into step-by-step visuals, using real-world examples to clarify each conversion. I organized it by calculation type, use case, and tool integration to help staff quickly determine which formula to apply.
The OPS Hiring Tips job aid provides a checklist-style layout of best practices and common pitfalls. To support quick scanning, I separated the guidance into “Do’s” and “Don’ts,” and highlighted compliance requirements, express pool procedures, and data entry tips.
Takeaways
This infographic; is a testament to the transformative power of instructional design in facilitating meaningful learning experiences. By equipping teachers and students with the tools they need to succeed, I was able to empower individuals of all abilities to lead fulfilling and independent lives.
